00/hour FLSA Status/Hours: Non-Exempt, 40 Hours per week Revised: 11/28/2023 *Summary:* Responsible for assisting the Clerk of Circuit Court in the management and coordination of the civil, criminal, small claims, traffic, family and jury operations of the Langlade County Circuit Court.
Also responsible for assisting in providing justice related support services to all participants using the judicial system by receiving, filing and maintaining documentation essential to create and preserve the official court records of Langlade County.
*Essential Duties and Responsibilities: To perform this job successfully, an individual must be able to perform each essential function satisfactorily and in a timely manner.

* *Case Management of Civil, Criminal, Small Claims, Traffic, & Family Cases:* * Perform duties relating to case management including case initiation, disposition, receipting filing fees, receiving and filing documents for all case types, scanning and shredding paper filed documents.
* Process extradition, complex forfeiture, John Doe, paternity post-judgment, change of venue and general files.
Process occupational licenses, search warrants, UIFSA registrations.
* Process construction, hospital, public assistance and workers compensation liens.
Verify State tax warrants, unemployment compensation warrants and satisfactions and submit bi-annual reports on tax warrants and satisfactions for reimbursement to Langlade County.
* Docket civil judgments, foreign judgments, transcripts of judgments and satisfactions of judgments.
Prepare transcripts to be sent to other counties in the state, process writs of replevin and eviction, process executions to be levied on personal property or accounts.
* Prepare court orders of revocation/suspension, judgments of conviction and conviction status reports and submit to appropriate agencies.
Electronically report criminal traffic, traffic and forfeiture cases to Wisconsin Department of Transportation, monitor audit report weekly.
Monitor cases for fingerprint submissions, electronically report criminal dispositions to Wisconsin Crime Information Bureau, report criminal bonds with firearm or weapon restrictions to the Department of Justice, audit case events for reporting to DOJ for DNA testing, monitor prison sentences to comply with victim rights.
File and cancel warrants when appropriate, expunge cases as ordered by the Court, monitor cases with alcohol awareness review.
* Compile divorce and annulment certificates, name change and paternity information update forms and submit to Bureau of Vital Statistics, certify legal descriptions for abridgements of judgments, certify copies for Child Support Agency for referral to Interstate, certify Qualified Domestic Relations Orders, mail divorce judgments and UIFSA registrations.
* Assist the public by providing pro se divorce packets, forms for restraining orders, legal and confidential name changes, small claims actions and answering procedural questions.
Update and print self represented litigant forms.
Update self represented litigant board.
Be flexible to accommodate public in need of special assistance.
*Court Activity:* * Maintain court calendar for court activity, run detailed court calendars daily.
Prepare for traffic court, working with State, County, DNR, City and Land Records court personnel on intake days.
Utilize in-court processing for appearances in traffic including disposing of citations, utilize in-court processing for criminal, civil, small claim, family and paternity cases, keep accurate minutes and precise interpretations of court decisions and orders related to court activities/actions, swear in witnesses, mark and manage exhibits for court hearings including court trials and jury trials.
* Operate the digital audio recorder to record, monitor and archive court hearings held by Court Commissioner.
Prepare copies of recordings for public upon request.
* Prepare and process bail bonds, complete applications for payment plans, community service agreements, alcohol awareness and alcohol assessment.
* Assist with scheduling court interpreters.
* Assist with jury trial procedural activities.
* Must be flexible in working with two courts in session.
* Must be flexible to be available when court runs after hours.
*Monetary Maintenance:* * Receipt fines, costs, court fees, tax intercept and collection agency revenue into the CCAP financial system, process electronic payments.
Prepare bank deposits and run daily reports as necessary for daily balancing, maintain and balance checking account for traffic and general accounts, prepare monthly reports to County Treasurer listing all collections and assessments, as well as amounts to be paid to the State Treasurer.
Prepare and run checks as disbursements are required including restitution regarding library fines, theft and worthless checks, monitor and cancel outstanding checks through the CCAP system, write letters regarding NSF payments and monitor status.
* Monitor bond receipts and return of bonds after case disposition, send notices for bond forfeitures and process adjustment to county, monitor court appointed attorneys including retainer fees, monthly payments and reimbursement to county, monitor and process guardian ad litem fees and mediation fees on family cases, monitor and process KIDS payments of guardian ad litem and Bureau of Vital Statistics reimbursement.
* Monitor payment plans and send reminder notices, issue warrants or suspensions for unpaid fines/court obligations.
Determine if civil judgment can be taken for unpaid fines/court obligations by running reports and reviewing files, searching to obtain SSN’s, searching military website to complete affidavit of non-military service.
Prepare civil judgments on traffic, forfeiture and criminal cases after fines/court obligations remain unpaid, enter civil judgments for unpaid restitution and court obligations on criminal cases after discharged from probation, calculate interest on civil judgments for unpaid fines/court obligations on a monthly basis, monitor and satisfy judgments when fines/court obligations are paid and print reinstatement notices when necessary.
Enter unpaid fines/court obligations in the tax intercept program, monitor Department of Revenue tax intercept payments weekly.
* Determine which unpaid fines/court obligation can be turned over to collection agency/State Debt Collection Program.
Create Excel spreadsheet for submission to collection agency.
* Monitor unpaid assessments when discharge or revocation of probation, obtain information necessary to enter civil judgment for victim restitution.
* Prepare payment vouchers for expenses.
*Miscellaneous:* * Assist the public in person, by telephone and by mail, provide assistance to the public with public access computer, notarize documents for the public, perform record searches for the public and other agencies.
* Prepare copies of legal documents as requested by the public, Child Support Agency, District Attorney, Public Defender, Department of Corrections and U.
S.
Immigration Office.
Copy microfilmed documents as needed from storage.
Prepare certified copy certificates and authenticate copies of records.
* Maintain, retrieve and copy cases in the storage facility.
Keep accurate inventory of off-site storage room.
* Process jury questionnaire information, prepare witness certificates, verify monthly warrant list for Sheriff’s Department, complete divorce verification forms for County Clerk, print traffic and small claims pamphlets for distribution, sort and process daily mail, keep inventory and order office supplies as necessary.
* Maintain Clerk of Circuit Court webpage.
* Continuous cross-training in all areas due to statutory updates.
