RESPONSIBILITIES A.
ESSENTIAL FUNCTIONS 1.
Log, review and assign all incoming referrals including, but not limited to misdemeanors, felonies, ordinances, citations, wage claims, worthless checks, juveniles, child support cases and special prosecutor cases.
Obtain any other necessary documents for referrals.
2.
Work independently in the management of attorney caseload, within specified guidelines including the preparation of legal documents (i.
e.
, complaints, warrants, search warrants, briefs, juvenile petitions, correspondence, immunization referrals, photocopy bills, etc.
).
Prepare filings on civil asset forfeitures, wage claims, and worthless checks.
Open and close case files.

Enter data into PROTECT (PROsecutor TEchnology for Case Tracking) system and use appropriate formats to run record checks through the TIME (Transaction Information for the Management of Enforcement) system.
4.
Greet public or answer telephone in a pleasant and helpful manner.
Take and give accurate messages to appropriate staff, as required.
5.
Cross train with other Legal Administrative Assistants to handle any job duty in the absence of a co-worker or to share duties as assigned.
6.
Responsible to know and practice the Safety policies of the County.
Perform all job tasks in a safe and prescribed manner.
B.
OTHER JOB DUTIES 1.
Coordinate schedules with court, law enforcement, and witnesses in issuing and/or canceling subpoenas, warrants and writs, as required; maintain court calendar.
2.
Route files to Victim/Witness to ensure compliance with Victim Right’s Law.
3.
Attend trainings as required.
4.
Participate in on-call system for emergencies during non-work hours, as needed.
5.
Any other duties as may be assigned.
EXPERIENCE, TRAINING, QUALIFICATIONS High school graduate or HSED (High School Equivalency Diploma); completion of Office Support Specialist or Administrative Assistant Associate Degree required.
At least three (3) years of experience as a Legal Secretary, with a working knowledge of criminal practices and procedures required.
Typing skills of 45 wpm required.
Ability to operate a personal computer and software (Windows, Word and Excel) and experience in data entry is required, as well as the ability to learn any upgrades and changes that may occur.
If needed, ability to efficiently transcribe from a dictaphone.
Must meet standards to access TIME system.
Must attend PROTECT and State Criminal Information Bureau (CIB) training and undergo and obtain a satisfactory CIB and Federal Bureau of Investigation (FBI) record check and fingerprint clearance.
Basic, everyday living skills are needed, as is the ability to understand and follow oral and written directions.
Reading, writing, adding, and subtracting are needed for correspondence, data entry.
Demonstrated ability to work independently, work under pressure to meet frequent deadlines, maintain attention to detail and accuracy and maintain confidentiality is critical.
Demonstrated ability to work effectively with co-workers and general public.
Basic office equipment used – calculator, copy machine, computer and printing equipment, FAX machine, dictaphone, telephone and imaging equipment.
