Position Summary
The Health Information Management (HIM) Coordinator provides and demonstrates effective leadership and promotes a team atmosphere within the HIM department and throughout the organization.
Oversees daily workflows, organizes work assignments, and manages team schedules.
The HIM Team Lead is trained and able to perform medical record technician and medical history abstractor duties as needed.
This is an onsite position.
Essential Job Functions and Responsibilities LEADERSHIP FUNCTIONS Demonstrates effective leadership and promotes a team atmosphere throughout the organization.
Serves as a positive role model.
Assists in the selection and onboarding of team members.
Participates in annual and ongoing performance management and completes documentation in a timely manner and discusses with human resources as necessary.
Coordinates team schedules and assesses for adequate staffing.
Participates as an active contributor in Leadership Council and other assigned committees/meetings.
Maintains policy & procedure manual for the team.
Demonstrates ability to effectively manage conflict.
Maintains a calm, positive demeanor in stressful situations.
Participates in organizational change initiatives.
With management, providers, the clinical team and other staff works to assure organizational response to internal and external changes is positively promoted, fully implemented, and performance is sustained.
Coordinates issues with affiliated system EMRs and ensures resolution.
Acts as the point of contact for various chart audits.
HEALTH INFORMATION MANAGEMENT FUNCTIONS Assists to develop policies and procedures that aide in the maintenance of health information management functions and offers suggestions to improve department efficiency.
Participates with annual quality reporting submission and information gathering.
Assures information required to successfully measure and report care quality measures are properly documented.
Ability to perform core Medical Records Technician duties, including: Prepares and maintains electronic medical records for upcoming patient visits according to HIM chart prep guidelines; secures and reviews all necessary records from referring/other offices, imports and electronically files incoming information into the electronic record, and distributes to appropriate parties as needed.
Responds to requests for add-on patient visits; works with clinical care teams and providers to ensure that records are available for add-on patient visits and responds to related phone calls during the day.
Reviews patient charts post-visit to ensure all disclosure forms, authorization of care forms, and related items are signed and dated according to policy, and scans and files any information that was not imported into the electronic medical record.
Processes and documents medical records releases and referrals and ensures all necessary medical record release forms are on file as needed Verifies lab/radiology results to lab/radiology orders and contacts lab/radiology regarding any errors.
Ability to perform core Medical History Abstractor duties, including: Confirms and updates patient medical history and health conditions pertinent to the reason for visit and according to the HIM preload guidelines.
Enters clinical quality measure data for GIQuIC.
Updates EPIC chart with appropriate recall status for patient procedures.
Participates in other HIM office functions, as needed, including: Processes interoffice mail and incoming faxes accurately and efficiently, and tasks mail to clinical team members or providers as required.
Tracks all certified and non-certified letters sent and tracks return receipts as they are mailed back.
Scans letters and return receipts patient's electronic medical record in a timely manner.
Responds to electronic tasks in a timely manner.
Responds to deliveries and ensures the correct individual receives delivery.
Gathers information for chart audits as assigned.
Takes minutes for HIM team meetings as needed.
Performs other duties as assigned.
Minimum Qualifications Education High School diploma or equivalent required.
Advanced training in health information management, or comparable experience required.
Advanced training in supervisory management or leadership is preferred.
Licensure/Certification Certification as an RHIT or RHIA through the American Health Information Management Association (AHIMA) highly preferred.
Experience Minimum of three years of experience in a medical office/clerical role, medical records or transcription.
Previous Epic experience preferred.
Minimum one year of leadership experience highly preferred.
Competencies Required Knowledge Knowledge of organizational leadership philosophies and a willingness to continue striving for greater leadership learning.
Working knowledge of medical terminology.
Knowledge of state and federal records release requirements.
Knowledge of duties of all supervised roles and ability to fill in as necessary.
